ABVO® Committee Member On-Boarding/Annual Renewal Process
PURPOSE & CHARGE
Each committee has their own purpose & charges. These are explained in the Policies & Procedures (P&P) document in detail. Be sure to locate your committee’s policies in the document and review. Some highlights are offered below.
MEMBERSHIP, METHOD OF APPOINTMENT, & COMMITTEE CHAIR
These vary from committee to committee; however, generally, the committee reviews the volunteer interest form applications, and reviews demographics/experience that is needed. Names are proposed to the ABVO for approval. Once ABVO approval is received, the committee chair will contact the prospective committee member to confirm acceptance, and will notify both the ACVO Office and the ABVO Liaison of the new membership.
MEETINGS
Every committee will hold meetings throughout the year; the number and timing depends on the committee. Check with your chairperson. Typically, the ABVO Residency, ABVO Credentials, and ABVO MOC committees have a meeting in person at the ACVO Annual Conference; and the ABVO Exam Committee meets in person twice yearly: for one full week in the summer, and for two days prior to the ACVO Annual Conference. Attendance is expected for all in-person meetings. It is particularly critical that Exam Committee members are able to commit to attending both meetings in person each year during their entire term.
REIMBURSEMENTS
Reimbursement is provided for extra expenses incurred due to committee work, such as extra hotel nights, extra meals, extra parking, etc., but not for flights nor transfers for the fall meeting. Submit for reimbursement online using the digital form. The reimbursement spreadsheet and all receipts will need to be uploaded into this reimbursement form. Requests submitted after December 15th annually may not be reimbursed.
BOARD REPORTS
Each committee’s chair is required to submit a report to the ABVO, at least twice annually. Special reports may be requested. Typically, these are requested early September and March each year, but times may vary. Board meetings are posted on the ABVO.us website. The ACVO Office will prompt the chairs 6 weeks prior to the due date. Reports to the Board are required and must follow this format: Blank ABVO Report Template
ACVO NEWSLETTER
ACVO publishes an e-newsletter to the membership every two months. Chairs will be contacted to provide brief updates to the membership and are encouraged to report news/requests whenever possible, this is not a requirement for every issue. ABVO’s reports will be included in its section.
MOC
Members of the ABVO Exam Committee can earn 10 MOC credits per year.
SERVICE TERMS
Service terms vary by committee, see the P&P for your specifics. Generally, the term is 3 or 4 years, chair ascension may be required.
On-Boarding/Annual Renewal Documents and Submission Form
Committee and Board members need to review and complete the digital Volunteer Document Submittal Form annually. The required NDA or Exam NDA are to be printed, signed and attached to the digital form when joining a new committee or board. Afterwards each document can be simply reviewed and acknowledged annually in the digital Volunteer Document Submittal Form. When changing to serve on a new committee or board, a new NDA or Exam NDA needs to be wet signed and uploaded. New for 2026: For Exam Committee members, a separate NDA form is required and must be acknowledged annually in the digital form.
Please review all documents prior to completing the Volunteer Confirmation Registration Form below. Members will be attesting to agreement with the terms for each form for the service year.
The only form that needs to be signed and attached for committee members is the NDA or Exam Committee NDA, if onboarding for the first time.
Onboarding ABVO Board members must submit ‘wet signatures’ on the NDA and the ‘Duty of Care’ documents the first year of service.
